Commercial Furniture Order Entry Specialist

Position Overview:

Koll Office Interiors is seeking an Order Entry Specialist to prepare, edit and manage orders. The Commercial Furniture Order Entry Specialist plays a crucial role in managing and processing customer orders for an extensive product line. This role requires a detail-oriented individual who can accurately enter and track orders, collaborate with sales teams, and ensure a smooth order fulfillment process. The ideal candidate will have strong organizational skills, excellent communication abilities, and a keen eye for detail.

Key Responsibilities:

  • Order Processing: Accurately enter and process customer orders into the order management system. Ensure all order details, including product specifications, quantities, pricing, and delivery dates, are correct.
  • Customer Interaction: Serve as a point of contact for customers regarding order status, product availability, and any changes or issues related to their orders. Provide timely and professional responses to inquiries.
  • Collaboration: Work closely with sales representatives, production teams, and suppliers to verify order details and address any discrepancies or issues. Coordinate with the shipping and logistics teams to ensure timely delivery of orders.
  • Documentation and Tracking: Maintain and update order records, ensuring all documentation is complete and accurate. Track order status and provide updates to customers and internal teams as needed.
  • Problem Resolution: Identify and resolve any issues related to order entry, including product shortages, delivery delays, or billing discrepancies. Proactively address potential problems to minimize impact on customer satisfaction.
  • System Management: Utilize order management and ERP systems effectively. Ensure data integrity and accuracy in all system entries and reports.
  • Reporting: Generate and analyze reports related to order metrics, inventory levels, and customer feedback. Provide insights and recommendations to improve order processing efficiency and customer satisfaction.
  • Compliance: Ensure compliance with company policies, industry regulations, and customer requirements throughout the order entry and fulfillment process.

Qualifications:

  • Education: High school diploma or equivalent required. Associate’s degree or higher in business administration, management, or a related field preferred.
  • Experience: Proven experience in order entry, customer service, or a similar role, preferably within the commercial furniture or related industry.
  • Skills:
    • Proficient in order management and ERP systems.
    • Strong attention to detail and accuracy.
    • Excellent organizational and multitasking abilities.
    • Effective communication and interpersonal skills.
    • Ability to handle high-pressure situations and meet deadlines.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with CRM and order management software is a plus.

Working Location:

  • Environment: Onsite/in person with potential for occasional travel to client sites or trade shows.
  • Hours: Full-time position with standard office hours, Monday thru Friday, 8:00A – 5:00P. Flexibility may be required based on workload.
